Terms of Service

These Terms of Service (the “Terms”) govern your access to and use of Techpool — our web platform, the Instant Capture mobile app, and related services (together, the “Service”). By creating an account or using the Service, you agree to these Terms. If you are using Techpool on behalf of a company, you agree on its behalf.

1. The Service

Techpool is an AI-native platform for field service and manufacturing. It brings scheduling, field reports, certificates, calibration, expenses, and a shared knowledge base into one place, and uses AI to structure what your team captures in the field into usable records.

2. Accounts, Companies & Roles

• You need an account to use the Service. Keep your login details secure and do not share them.
• Work in Techpool happens inside a company workspace. A person may belong to more than one company, with a role in each (such as Owner, Admin, Technician, or Client).
• Company Owners and Admins are responsible for who they invite, the roles they grant, and how their team uses the Service.
• You must be old enough to enter a binding contract in your country and provide accurate account information.

3. Acceptable Use

You agree not to:

• use the Service to break the law or infringe someone else’s rights;
• upload content you do not have the right to share, or that is harmful or misleading;
• attempt to access, disrupt, or reverse-engineer the Service or other customers’ data; or
• resell or provide the Service to third parties except as your plan allows.

4. Your Content and Data

You and your company own the data you put into Techpool — photos, voice notes, measurements, reports, and other records (“Customer Data”). You grant us the permissions needed to host, process, and display it so we can provide the Service. You are responsible for having the right to capture and upload that data, including any personal data of your staff or customers.

5. AI Features

Techpool uses AI to transcribe, structure, and draft content from your captures. AI output can contain errors, so you are responsible for reviewing it before relying on it. We may use anonymized and aggregated data to operate and improve the Service; we do not sell your Customer Data.

6. Privacy

Our handling of personal data is described in our privacy policies, including the Instant Capture Privacy Policy and the Platform Privacy Policy. Please review them — they form part of your use of the Service.

7. Plans and Billing

Techpool offers free and paid plans. Paid plans are billed in advance for the period you choose, and fees are non-refundable except where required by law. We may change pricing for future billing periods with reasonable notice.

8. Availability

We work hard to keep Techpool available and reliable, but the Service is provided “as is” and we do not promise it will be uninterrupted or error-free. Features may change as the product evolves.

9. Limitation of Liability

To the maximum extent permitted by law, Techpool is not liable for indirect or consequential losses, lost profits, or lost data, and our total liability is limited to the amount you paid us for the Service in the twelve months before the claim.

10. Termination

You may stop using the Service at any time. We may suspend or end access if these Terms are breached or to protect the Service or other users. You can request an export of your Customer Data before your account is closed.

11. Changes to These Terms

We may update these Terms as the Service grows. If we make a material change, we will give reasonable notice. Continuing to use the Service after a change means you accept the updated Terms.
