Techpool (“we,” “us,” or “our”) operates the Techpool Instant Capture mobile application (the “App”). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our App. By using the App, you agree to the collection and use of information in accordance with this policy.

2.1 Account Information
When you create an account or sign in, we collect:
- Email address
- Password (transmitted securely, not stored in plaintext)

The core functionality of the App involves creating field captures. Depending on the capture type, we collect:
- Photos and images— taken via the device camera or selected from your photo library
- Voice recordings— recorded via the device microphone
- Video recordings— recorded via the device camera
- Text notes— entered manually
- Before/after photos— documenting job site conditions
- Clock in/out records— timestamps of work start and end
- Expense reports— merchant name, amount, currency, expense date, receipt images, and notes
2.3 Location Data
With your permission, we collect GPS coordinates (latitude and longitude) and derive a physical address via reverse geocoding. Location data is attached to captures to record where field work was performed.
2.4 Company and Employment Data
When you join or select a company within the App, we collect:
- Company ID, name, industry, and headquarters location
- Your role within the company (e.g., owner, admin, technician, client)
- Company member ID and membership status
2.5 Device and Usage Data
We may collect technical information necessary for the App to function, including:
- Device type and operating system version
- Network connectivity status
- App version
3. How We Use Your Information
We use the information we collect to:
- Authenticate your identity and manage your account
- Create, store, and sync captures between your device and our servers
- Tag captures with location data so field work can be accurately documented
- Associate captures with the correct company and mission
- Process expense reports, including receipt scanning via optical character recognition (OCR)
- Enable offline functionality by storing data locally and syncing when connectivity is available
- Improve and maintainthe App’s performance and reliability
We use the data you submit through the app to train and improve our machine learning models, and we may use anonymized data for any business purpose.
4. Data Storage and Security
4.1 Local Storage
- Capture data, media files, and metadata are stored locally on your device.
- Authentication tokens are stored in encrypted secure storage on your device.
- Media files (photos, audio, video) are stored within the App’s private storage area.
4.2 Remote Storage
- Data is synced to our servers over HTTPS.
- Media files are uploaded as encrypted transfers via HTTPS.
- Authentication uses secure tokens with automatic refresh.
4.3 Security Measures
- All network communication uses HTTPS encryption.
- Authentication tokens are stored in the operating system’s secure storage on your device.
- Local data is stored using mechanisms designed for integrity and reliability.
5. Data Sharing and Disclosure
We do not sell your personal information to third parties.
We may share your information in the following circumstances:
- With your company— Captures and related data are shared with the company you are associated with in the App, as this is the core purpose of the service.
- Service providers— We may use third-party services to host our infrastructure and process data on our behalf, subject to confidentiality obligations.
- Legal requirements— We may disclose your information if required by law, regulation, legal process, or governmental request.
- Business transfers— In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
6. Third-Party Services
The App does not integrate third-party analytics, advertising, or tracking SDKs. The App relies on standard libraries solely for functionality such as network communication, local data storage, camera and media recording, location and geocoding, and secure storage.
These components process data locally on your device or facilitate communication with our own servers. They do not send data to third-party analytics or advertising services.
7. Device Permissions
The App requests the following device permissions:

- Account deletion— To request deletion of your account and all associated data from our servers, please contact us using the information in Section 12.
9. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal data we hold about you
- Correct inaccurate or incomplete personal data
- Delete your personal data
- Export your data in a portable format
- Withdraw consent for location data collection at any time via device settings
- Object to certain processing of your personal data

10. Children’s Privacy
The App is not intended for use by anyone under the age of 16. We do not knowingly collect personal information from children under 16. If we become aware that we have collected personal data from a child under 16, we will take steps to delete that information.
